A temporary Human Resources Representative position (up to one year) with the New York City Office of Chief Medical Examiner. The role focuses on recruitment, onboarding, and workforce operations, including job posting management, candidate screening, compliance processing, HR metrics tracking, and coordination with various city agencies. Requires a valid New York State Driver's License.
Overview
The Office of Chief Medical Examiner (OCME) investigates cases of persons who die within New York City from criminal violence, by accident, by suicide, suddenly when in apparent health, when unattended by a physician, in a correctional facility, or in any suspicious or unusual manner. Our core purpose is to protect public health and serve impartial justice through forensic science and medicine.
Please note this is a temporary appointment for up to one year. A valid New York State Driver's License is required for this position.
Role
Under the general direction of the Director of Human Resources Operations and the supervision of the Supervisor of HR Workforce Operations, the selected candidate will provide recruitment, onboarding, tracking, and professional development support. The candidate will receive training and assist in the performance of the following duties:
•Compiling, maintaining, tracking, and reporting HR Metrics including headcount, attrition, compliance, and vacancies
•Developing and submitting job postings in EHIRE
•Reviewing candidate qualifications and forwarding qualified resumes to hiring managers
•Collecting, reviewing, and processing candidate compliance documents
•Conducting follow-ups to ensure candidates are accomplishing onboarding milestones within set timeframes
•Conducting agency-specific orientation sessions
•Preparing job offers, release letters, and other correspondence
•Coordinating and attending job fairs, professional conferences, and various other recruiting events
•Planning and attending interviews as the HR representative
•Coordinating start dates with hiring managers
•Coordinating with DOHMH for pre-employment medical processing and tracking
•Facilitating civil service list actions
•Submitting promotions, title changes, level changes, salary increases, etc. in EHIRE
•Supporting the Compliance, Training, and Internship programs
•Establishing and maintaining rapport with OCME HR Partners such as DOHMH, DCAS, and other agencies
•Collecting DNA samples for new employees, interns, volunteers, etc.
•Operating agency vehicles as an OCME Agency Driver for HR and recruitment related events
•Utilizing internal HRIS system and city data systems such as PMS, NYCAPS, and CHRMS for recruitment and talent related assignments
•Other duties as assigned
Minimum Qualifications
Candidates must meet one of the following:
•An associate degree from an accredited college including or supplemented by 12 semester credits in secretarial science, word processing, office automation, and/or office technology
•An associate degree from an accredited college, and either one year of satisfactory full-time professional general secretarial experience or six months of satisfactory full-time professional legal secretarial experience
•A four-year high school diploma or its educational equivalent, and either two years of satisfactory full-time professional general secretarial experience or one year of satisfactory full-time professional legal secretarial experience
•Education and/or experience equivalent to the above options; completion of a one-year specialized training program in secretarial science, word processing, office automation, and/or office technology, or 30 semester credits including 12 in relevant fields, may substitute for experience requirements. All candidates must possess a four-year high school diploma or its educational equivalent.
Skills Requirements
•Ability to type at a minimum rate of 55 words per minute
•For assignments requiring stenographic skills, candidates must also have the ability to take legal dictation
•For certain assignments, higher typing and stenographic skills may be required
