Harvard Medical School is seeking a Program Manager for Affiliate Programs to oversee post-approval programmatic support for accredited educational activities. The role involves managing a team of coordinators, ensuring compliance with accreditation policies, managing course evaluations and credit claims, and coordinating livestream services. The position requires 5+ years of relevant experience in program/project management, preferably in healthcare, university, or hospital accreditation settings.
Overview
Harvard Medical School's Office for External Education (OEE) is seeking a Program Manager, Affiliate Programs to join the Continuing Education (CE) team. The CE team provides accreditation and support for educational activities sponsored by the 15 HMS Affiliate Hospitals. In 2025, the HMS CE team accredited 362 activities, offering 9,459.5 credits and educating over 51,000 learners.
This role reports to the Assistant Director, Program Development and is responsible for all workflows related to post-approval programmatic support.
About the Office for External Education
The Office for External Education provides health care professionals, corporations, and lay audiences with broad access to Harvard Medical School's medical knowledge. Educational offerings are created in collaboration with members of the School's almost 12,000-member faculty. OEE's Continuing Education holds Joint Accreditation with Commendation and is dedicated to delivering accredited educational activities designed to maintain, enhance, and expand clinicians' knowledge, clinical skills, professional performance, and collaborative relationships.
Responsibilities
Operations and Team Management
•Manage the day-to-day operations of the program support team, monitoring deadlines and providing guidance to staff members regarding the prioritization of workload
•Oversee program support staff, including hiring, training, development, corrective action, and performance evaluations
Accredited Activities Programmatic Management
•Provide exceptional customer service to affiliate course planners and internal stakeholders, ensuring compliance with accreditation and HMS policies and procedures
•Develop and maintain program standards to ensure consistency of communication and support for all accredited activities
•Lead quality assurance efforts to ensure accuracy, consistency, and compliance for all course materials, evaluations, learner data, and learner communications
•Manage the course evaluation and credit claim processes to ensure timely delivery of participant results and accuracy of participant records to all accreditation and medical/clinical boards
•Manage CE Livestream services, partnering with OEE core function colleagues to ensure seamless delivery of livestream course support
Accreditation and Compliance Responsibilities
•Serve as the departmental liaison to the course planner community, communicating HMS, AMA, and JA/ACCME policies and criteria as related to educational activity support
•In partnership with the Program Manager, Educational Development and Accreditation, maintain precise and comprehensive activity files for accreditation documentation, clinician credentialing, and financial reports mandated by JA/ACCME, HMS, and industry supporters
•Collaborate with Program Manager, Educational Development and Accreditation to identify compliance vulnerabilities and implement corrective measures, advising course directors on compliance issues
•Stay informed of current ACCME/JA, AMA, and Medical Board policies and criteria, maintaining accurate activity files for accreditation documentation
CE Unit Support
•Work independently and collaboratively with other CE managers and OEE core function colleagues to identify and implement improvements across the course lifecycle workflow
•Independently manage projects as directed by CE Leadership team
Working Conditions
•Work is performed in an office setting or offsite in an educational setting or classroom
•Occasional weekend or off-hour work may be required
•Physical requirements include extended periods of sitting, computer use, and lifting approximately 20 to 30 pounds
•This is a hybrid position; employees must work in a Harvard registered state when not at a Harvard location
